Inclement Weather Frequently Asked Questions

  • Who makes the decision to close or delay school due to weather conditions?

The Superintendent of Schools is responsible for deciding to open, delay, or close schools. The Superintendent of Schools oversees an Emergency Management Team made up of operational department heads, our Lieutenant of Emergency Preparedness and Training, and the superintendent’s cabinet. The RCSS EMT works closely with local and regional agencies and the National Weather Service to make a final determination.

How do we make the decision to open, delay, or close schools?

The decision to open, delay, or close school is based on the situations listed below:

    • Safety: The safety of our students, staff, and families is always our highest priority.
    • Road Conditions: Transportation, maintenance, and police staff carefully monitor and report road conditions throughout the district. Every potential hazard is thoughtfully evaluated to ensure safety. While some streets may appear clear, others in the county could still pose risks, particularly for students and inexperienced drivers.
    • Water: Contaminated water or an interruption in water accessibility could be a potential factor in ensuring smooth operations in our schools.
    • Natural Disasters: Floods, tornados, hurricanes, and other natural disasters can have lasting impacts on our community, even long after the event occurs.
    • Ice or Snow: The amount of ice or snow that is projected to accumulate.
    • Rain: Whether or not there is continuing precipitation throughout our communities on our bus routes is a consideration. Even after rain stops, standing water, flooding, or downed trees due to softened ground conditions are factors.
    • Building Conditions: All buildings should have access to electricity and heat.
    • Parking lot conditions: Administrators talk to maintenance and custodial staff members responsible for clearing and treating school parking lots and sidewalks.
    • Temperature and Wind Chill: Many students walk to school, and some must wait outside for the bus.
    • Weather Predictions: Making decisions based on weather predictions is rare, as predictions are not always accurate. Sometimes, it becomes necessary.
    • State and Local Recommendations: We closely monitor updates and communications from the National Weather Service and local organizations. If local business and city or county operations close, childcare for our students is a consideration for closures and openings.

How is the public notified of school operation changes?

We use multiple channels to inform parents about school closures or delays, including:

    •  Infinite Campus Parent Portal: Direct messages are sent to parent and guardian contacts. We encourage parents and guardians to ensure their email addresses and phone numbers are up-to-date in the parent portal to receive important messages. Visit rcboe.org/parentportal to learn more.

    •  Social Media: Information is disseminated through official RCSS social media accounts.

    •  Local Media: For up-to-date information on school closings, tune in to local news stations such as WJBF-TV, WAGT-TV, WRDW-TV, WXG-TV, and WGAC-AM radio or read The Augusta Chronicle.

When is the decision on school operations made?

Generally, the decision is made by 5:00 AM or earlier so that the media can be notified, and that such information can be posted on the school's website and social media accounts.

Will after-school programs or extracurricular activities be canceled if schools close?

In most cases, if schools are closed for the day, all after-school programs, extracurricular activities, and sports events will also be canceled or postponed. Athletic schedules and updates can be found at rcboe.org/athletics

What happens if severe weather develops during the school day?

If severe weather arises during the school day, RCSS may initiate an early dismissal. Parents and guardians will be notified via the above communication channels, and bus transportation services will be coordinated to ensure all students arrive home safely.

Will students have to attend school virtually if it's closed?

In the event of inclement weather or school closure, RCSS may call for a PowerUp Asynchronous Learning Day, asking students to bring home their district-issued devices and complete assignments at home. Power outages and access to technology are key determining factors for PowerUp Days versus a school closure. To learn more about PowerUp and district-issued devices, visit rboe.org/powerup

How do I update my contact information to receive text, voicemail, and email updates?

To ensure you receive timely notifications, please log in to the Infinite Campus Parent Portal (rcboe.org/parentportal) or contact your child’s school office to update your phone number and email address.

Will school meals still be available even if schools are closed?

If weather closures are extended, RCSS may provide information about meal pick-up or drop-off locations and times. Please check your Infinite Campus Parent Portal, the district website, or social media channels for updates.

What if my child misses school due to unsafe roadways and conditions around my home?

We understand that some areas may be more affected by weather than others, and the safety of our families and students is always our highest priority. If travel conditions are unsafe in your area, please report the absence to your child’s school.

How do I prepare my child for a school closure?

To prepare for school closures, consider:

    • Arranging backup childcare in advance, if possible.

    • Familiarizing yourself with your child’s virtual learning setup, if applicable.

    • Monitoring local weather reports and district notifications.

Will we have to add make-up days if schools are closed due to weather?

If weather-related closures exceed the number of days built into the school calendar, makeup days may be added. These will be communicated in advance.

How do I prepare for a PowerUp Asynchronous Learning Day?

    • Charge Your Device: Make sure your school-issued device is fully charged the night before. Keep the charger in a safe, designated location.

    • Review Internet Access: Verify your home has reliable internet access. If you need assistance, check the affordable internet resources at rcboe.org under the Information Technology section.

    • Prepare a Workspace: Set up a quiet, shared space at home where the student can focus on completing assignments.

    • Understand Device Use and Expectations: Ensure the device is used for schoolwork only. Students should log in with their school-provided credentials and follow all guidelines in the PowerUp Handbook (rcboe.org/powerup), including using safe and respectful online practices.

    • Communicate with Teachers: Students should know how to contact their teachers via email or virtual platforms if they need assistance during the day.
